Privacy Policy

This policy explains how CleaningDone4U (“we”, “us”, “our”) collects and uses your personal data when you use our website or contact us, and your rights under UK data protection law (UK GDPR and the Data Protection Act 2018).

Who we are

CleaningDone4U is a trading name of Edita Poviliene, a sole trader based in Worcester, England. Edita Poviliene, trading as Cleaning Done 4U, is the data controller for the personal data described in this policy. You can reach us at cleaningdone4u@gmail.com or 07726 212370.

What we collect

  • Details you provide via our quote form: your name, email address, phone number, postcode, the service and property details you tell us, and any message.
  • Anything you type into the chat assistant in the corner of the site. It is an AI assistant and it is designed to ask you for the service you need, your name, your phone number and your postcode, so a normal conversation with it will contain those details.
  • If you message us on WhatsApp, the content of those messages and your WhatsApp profile information (handled by WhatsApp/Meta under their own terms).
  • Limited technical data — such as a hashed IP address and browser user-agent — collected to protect the form against spam and abuse.

How we use it, and our lawful basis

  • To respond to your enquiry and provide a quote — on the basis of taking steps at your request prior to entering a contract, and our legitimate interest in responding to enquiries.
  • To run the chat assistant, so you can ask questions and get a quote by chat — on the basis of taking steps at your request prior to entering a contract.
  • To provide our cleaning services where you go on to book — to perform our contract with you.
  • To protect our website and prevent spam and fraud — on the basis of our legitimate interests in keeping the service secure.

Who we share it with

We do not sell your data. We share it only with service providers that help us operate, who act on our instructions:

  • Our website hosting provider, which stores enquiry data on our behalf.
  • Resend, our email delivery provider, used to send us your enquiry by email (if enabled).
  • Cloudflare Turnstile, used to tell humans from bots when you submit a form (if enabled).
  • WhatsApp/Meta, if you choose to contact us via WhatsApp.
  • n8n, the automation software that runs our chat assistant. We run our own copy of it on our own server, and it holds the conversation and passes the enquiry details on to us.
  • OpenAI, in the United States, whose gpt-4o-mini model writes the chat assistant's replies. Everything you type into the chat is sent to OpenAI so that a reply can be generated.
  • Telegram, which we use to receive an alert containing the enquiry summary the chat assistant has collected — typically the service you need, your name, your phone number and your postcode.
  • jsDelivr, the public content delivery network that serves the chat widget's script and stylesheet to your browser.

To be plain about the chat assistant: anything you type into it — including your name, phone number, postcode and details about your property — is processed by all of the chat providers above, not just read by us. If you would rather not use it, the quote form, email, phone and WhatsApp all reach us directly.

Some of these providers process data outside the UK. In particular, chat messages are sent to OpenAI in the United States. Where we transfer personal data outside the UK, appropriate safeguards (such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses) are in place.

Cookies and storage in your browser

We do not use advertising or analytics tracking cookies and we do not build a profile of you, so no cookie-consent banner is required. If we switch on Cloudflare Turnstile spam protection, it sets a short-lived, strictly necessary security token when you submit a form.

The chat assistant is the one part of the site that stores anything in your browser: when you use it, it saves a chat session identifier in your browser's local storage so that your conversation is not lost if the page reloads. We treat this as strictly necessary to provide the chat you asked for, not as marketing, and it is not used to track you across other websites.

The chat widget's script and stylesheet are loaded from jsDelivr, a public content delivery network. That happens on every page of this site as it loads, whether or not you ever open the chat, so jsDelivr receives your IP address and browser user-agent either way.

How long we keep it

We keep enquiry data for as long as we need it to deal with your request and for our own business records. An enquiry that does not become a booking is kept only while it may still be needed — for example to answer a follow-up question from you, or to show how the enquiry was handled — and is deleted once it is not. Records relating to bookings and payments are kept longer, for as long as tax and accounting law requires us to keep them.

Chat conversations are treated the same way as any other enquiry: kept while we need them to deal with the enquiry you made, then deleted. If you want to know what we still hold about you, just ask — see “Your rights” below.

Your rights

You have the right to:

  • Access the personal data we hold about you;
  • Ask us to correct inaccurate data;
  • Ask us to erase your data;
  • Restrict or object to our processing;
  • Request portability of data you provided;
  • Withdraw consent where processing is based on consent.
